No-Show/24 Hour Late Cancellation/Late Client Policy

Effective and Revised Dates – August 27th, 2014 (original August 7th, 2007)

Purpose

To establish a consistent process for addressing tardiness to and missed consultation appointments

Scope

All students and alumni accessing OSU Career Development Consultation services (independent or group)

Responsible Party

OSU Career Development Center, Career Development Center Director, Career Consultants and Graduate Assistants in direct consultation with students

Definitions
  • “No-show”: Missing an appointment without prior notice given via email, phone or in person, to the scheduled Consultant
  • “24 hour late cancellation”: When a student/alum fails to contact a Consultant or cancel through Handshake within 24 hours prior to session start time
  • “late client”: arriving student/alumni who is 20 minutes or more late to a scheduled 50-minute consultation
Policy Statement

In order to respect the time, rights and continued development of students/alumni and staff members, setting clear expectations about professionalism and communication in regard to appointments is necessary. While absolute authority for procedure is ultimately the responsibility of the individual Consultant or Graduate Assistant under the direct supervision of a Consultant, this policy seeks to provide structured expectations for consistent consequences.

Procedure
First No-Show

If a student/alum no-shows for a scheduled appointment with a Career Consultant or Graduate Assistant, you will receive an e-mail informing you that you have missed a scheduled appointment, and that a second appointment no-show on your part will result in the loss of your ability to schedule further appointments online, for the quarter.

Second No-Show

If you no-show for a scheduled appointment with a Career Consultant a second time, your ability to schedule appointments online through Handshake will be rescinded for the remainder of the term that your second no-show occurred. In order to regain your ability to utilize these services, you must:

  1. Meet with the impacted Career Consultant and explain the reason for your no-show.
  2. Have your appointment scheduling ability reinstated by the Career Consultant.

Note: No-shows will be reset/cleared at the end of each term and will not carry over from quarter to quarter.

Employer Policies

Payment Policy for OSU Career Fairs

Employer Payment Requirements

You will receive an email “receipt of registration/reservation” message with an invoice. Payments must be received not later than 10 days prior to the date of the fair. We accept checks, VISA, Discover and MasterCard. Submission of the registration form by an employer is considered a reservation and agreement to this Registration and Refund Policy. Registering for any OSU career fair is agreement to payment of full fair costs. Once payment has been received prior to the 10th day before the fair, you will receive a confirmation email with a receipt attached. NOTE: Your attendance at the fair is not confirmed until you receive the confirmation email and receipt for full payment.
Government agencies and/or non-profit organizations with payment restrictions are exempt from the requirement to pay prior to the event. Payment must be made no later than 30 days after the event to avoid late payment fees.

Full Refund Requirements

For a full refund of registrations fees, we must receive in writing via email a cancellation notice. This must be received no later than 10 business days prior to the fair for which you registered.

Late Cancellation Fee

There will be a $150 late fee for cancellations after 10 business days before the fair for which you have registered.

No Show Fee

Once your company or organization registers and is confirmed but does not attend the career fair and has not given written cancellation notice at least 10 business days prior to the fair, it is the company’s / organization’s responsibility to pay the full fair registration fee.

Late Payment Fee

Government payment is due no later than 30 days after the fair for which you have registered. Payments not received within this 30 day period will incur an additional fee of $50.00.

Collections

If payment of the original registration fee plus the late fee is not received by 60 days after the fair for which you registered, the information will be forward to the OSU Business Affairs Collections Office. The Collections Office may attach additional collections fees, and the delinquent accounts will be subject to a 12% APR interest until paid in full. If not promptly paid, the account may be submitted to the Oregon Department of Revenue as a lien.
